AI governance does not need to begin with a large committee. A small organization can use a short, repeatable review for each proposed tool or workflow: name an owner, identify the information involved, check the vendor and access model, decide where a person must review output, and record the decision.
A lightweight review framework
- **Inventory the use.** Record the tool, vendor, task, users, information entered, connected systems, and business owner.
- **Set a decision.** Mark the use approved within stated limits, restricted pending changes, or not approved. Record who can grant an exception.
- **Choose controls.** Define data boundaries, account access, human review, logging, and what happens if output is wrong or the service is unavailable.
- **Check the workflow.** Test with representative non-sensitive data before real use. Preserve a way to pause or roll back the connection.
- **Revisit when it changes.** Review again when the vendor, model, data, connected system, or impact changes.
Example
An assistant that drafts internal meeting summaries may need a review step before notes enter a record system. A tool that processes customer or health information needs a separate review of data terms, access, security, and applicable obligations before that information is used.
This framework organizes decisions; it does not determine legal compliance or make a high-impact use safe by itself. Start with one real workflow and adapt the review to its data and consequences.
